What You Will Do:

Under direct supervision, performs clerical duties which include receiving and registering patients and visitors within the designated admitting/registration office, efficiently and timely, and in accordance with Medical System and departmental policies and procedures.


Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.


Registration/Admitting Clerk work in various inpatient and outpatient admitting offices, ambulatory clinics and emergency service areas, performing any or all of the following responsibilities:

1. Interviews patients and relatives as necessary, in-person or via telephone, to obtain insurance and socio-demographic data and explains hospital services and procedures.

A. Verifies patient Medical Record and social security numbers. Verifies insurance coverage, Blue Cross, Medicaid, and others, by checking currency of insurance card and/or calling insurance company. Contacts HMOs' and other insurance carriers, as appropriate, to obtain authorization for treatment. Photocopies patient insurance cards, driver's license, social security cards and other necessary identification for patient record.

B. Identifies potential financial risk and refers patient to Financial Counseling for assistance and guidance in identifying alternative financial arrangements.

C. Outpatient clinic Registration/Admitting Clerks, schedule patient appointments, mail reminder cards to help ensure that patients keep pre-scheduled appointments or to notify patients of appointments missed. May be required to set up physicians' schedules, monthly or semi-annually, as needed, establishing a formal record keeping document and making changing in such upon request.

D. Collects insurance co-pays from patients.

E. Assesses patient need for alternate Medical System services during interview and refers patient and/or family to such departments as, Social Work, Admission Review, Pre-admissions testing, Family Services, or other relevant services as appropriate.


2. Adheres to the departmental and medical center specific standards for data entry and patient selection when registering, admitting or scheduling a patient for services at the Medical Center.


3. Inputs daily information obtained into on-line computerized Patient Management and Accounting System (PMAS) with speed and accuracy. Prints out admissions documents, registration forms, and secures appropriate signatures and witnessed consents.

A. May enter diagnosis and charge identification codes into patient record and PMAS for patient to be billed for services, once physician has released patient.

B. May batch and audit completed information reviewing for accuracy; distributes copies of admission documents to appropriate nursing units or clinics.

C. Issues patient charge plates.


4. Collects and secures patient valuables. Logs all items collected and secures in a safe for retrieval at discharge.


5. Escorts patients to assigned rooms upon completion of registration process, as needed.


6. Collects, monitors and updates information for daily patient census list, admissions list and discharge list, and verifies data with Admitting Specialists or other lead worker, where appropriate. (Primarily applies to Admitting areas.)

7. Processes patient discharges by clearing data from computer records thereby releasing bed to be reassigned for future admissions, arranging for patient transportation from the particular Medical System unit to a rehabilitation hospital or other appropriate location. Retrieves patient valuables.

A. Enters into computer PMAS system outpatient disposition and patient billing charge codes.


8. Gathers and records data used for individual, team and feedback performance reporting. Responsible for the integrity of recorded information.


9. Greets patients and families with courtesy. Observes patient right to privacy in handling personal information. Provides patients and visitors with information pertaining to hospital procedures, in-house directions, insurance requirements, appointment times and patient locations.


10. Communicates with other Medical System departments in the process of performing the duties of the position, such as, Medical Records to verify history numbers and/or request patient charts, nursing -- units, clinics, admitting area, MIEMSS, regularly. Locates physicians to assist with incomplete patient registration paperwork.

A. Communicates effectively with immediate supervisor. Provides information regarding work progress, actions and issues in a timely and effective manner.


11. Actively and continuously improves work processes. Uses continuous improvement tools and methods to improve individual, team and cross-departmental performance.


12. Provides guidance and instruction to fellow employees where skills are in need of improvement, as needed. Assists supervisor with training of new admitting staff by demonstrating department operating processes and procedures.


13. May perform duties of Admitting Receptionist, such as, answering telephone and in-person inquiries concerning patients' condition and visiting regulations, using the computer to retrieve patient data. Locates attending physicians where appropriate.

A. Provides hospital information to patients, visitors, and staff who have been admitted to the hospital in accordance with established institutional policies and procedures. Distributes patient handbooks to patients.


14. Contacts various external agencies and organizations in addition to insurance companies, such as, Cab and other transportation organizations, ambulance companies and Police department.


15. Performs routine clerical duties required for the specific unit such as, photocopying, filing, typing, maintaining various records and logs and ordering supplies for the unit.


What You Need to Be Successful:

Education and Experience

1. High School Diploma or GED equivalent is required.


2. One year of general clerical experience, in a business for professional office or healthcare environment involving public contact, is required.
