What You Will Do:
General Summary
This job description is intended for use for temporary employees working at UMMC (e.g. during vacation periods). Under general supervision, performs a variety of clerical and/or administrative functions requiring setting up and maintaining comprehensive records and files, preparing standard reports requiring the gathering and researching of information from several sources.
Principal Responsibilities and Tasks
The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. These are not to be construed as an exhaustive list of all job duties performed by personnel so classified.
1. Answers telephone, screens calls, takes messages, schedules appointments and provides information promptly, courteously and accurately in accordance with established policies and procedures.
2. Prepares standardized reports by gathering information from several sources, compiles data utilizing mathematical principles, preparing statistical tables and graphs, provides preliminary interpretation of the basic results to manager in accordance with departmental procedures.
3. Verifies content of reports and records for accuracy. Researches all available sources in order to resolve any errors. Reconciles user lists with established security access principles and keeps user access lists current according to departmental procedures.
4. Prepares charts, tables, various reports and correspondence for review and approval of supervisory and/or professional staff. Proofreads typed materials, makes corrections as needed, and recommends changes.
5. Verifies and logs pertinent information from documents before submitting check requests for processing and approval. Assists with the supply chain paperwork and associated applications including requisitions, purchase order logs, receiving functions and departmental financial report reconciliation in accordance with departmental procedures.
6. May compose and type letters in response to enquiries/requests regarding specific department information policies or procedures.
7. Carries out specific departmental duties e.g. basic computer operations, password changes, review of completeness of financial documents and reports in accordance with departmental procedures.
What You Need to Be Successful:
Education and Experience
1. High School Diploma or equivalent (GED) is required. Coursework or experience may be substituted for HSD in certain departments. Additional certifications may be required.
2. General clerical, administrative, secretarial experience is preferred.
Knowledge, Skills and Abilities
1. Familiarity with Microsoft Office programs such as MS word is required. Knowledge of Excel is required for certain departments.
2. Knowledge of state, local and federal tax laws and regulations, and general accounting practices is preferred (if applicable to departmental unit).
3. Basic knowledge of alphanumeric sorting, organizing and filing required.
4. Familiarity with medical terminology is required when applicable to the department.
5. Ability to use resourcefulness in researching various documents, computerized information screens or other resources to problem-solve in handling telephone and in-person inquiries required. Attention to detail is required.
6. Effective verbal communication skills including courtesy, resourcefulness and efficiency in answering questions, giving directions, locating staff and explaining hospital/departmental policies and procedures (as needed in applicable departments) are necessary.
7. Effective writing skills are also required in order to take messages and maintain miscellaneous records, receipts and reports.
8. Possesses good customer service skills and the ability to work with all levels within the organization
